Companies House Recommends Using Their PROOF Online Filing Service

Lately, I’ve been watching with a keen eye the number of agencies and statutory bodies that have been launching online methods of filing their returns and application forms. I definitely support moves to make these bodies more accessible and to speed up the communication chain. So it comes as no surprise that Companies House have launched their online filing service, PROOF.

The PROOF scheme has been designed to be easy to register for, use in the long term, and as a defence line in business identity fraud. The main purpose of the system is to allow companies to file most of the usual documents (e.g. Change of Director, Change of Registered Address) online without the risk of loosing confidential information in the post.

I found the online registration process secure in that it requires a “double check” with posted confirmation codes and emails to be able to register in the first place. The system once logged in, is quite straight forward and easy to use. It monitors change requests made and lets you see at a glance all of your previous change requests.

As a security step, once registered, Companies House will no longer accept paper based forms of those available online. I found it quite comforting to know that if they receive any fraudulent paper based forms they won’t act on them. This is a big plus for securing your business identity as fraudsters typically need to change your registered address before they can undertake fraudulent activities in your company’s name. The system does away with this being a possibility as only you can request any changes like of this nature.

Having seen the system myself, I’m not surprised that Companies House are encouraging all companies to register for PROOF. It’s a safe yet simple system that will hopefully also speed up some of the processing times. Many of St Matthew’s customers have already signed up for the PROOF scheme.
